PopMedNetTM Distributed Query Tool Release Notes
Based on Release 3.2.12 - August 26, 2013
Introduction
This update applies to all networks powered by the PopMedNetTM Release 3.x Software and includes enhancements and bug fixes to the PopMedNetTM software. This release includes updates to both the PopMedNetTM Portal and the DataMart Client. A new DataMart Client is available to download. It is recommended that you download the new client, but that is not required to execute queries.
These release notes cover software versions 3.2.0 through 3.2.12. The enhancements and bug fixes are listed below.

Recommended Notification Settings
Notification options allow the user to manage events that are triggered due to actions performed by the user or related to the user’s role. Notifications are sent to the email address associated with the user’s account and are displayed in the Notifications panel on the Portal home page.
All users must reset their notification settings via the Notification panel on their Profile page. Navigate to this page by clicking the Profile tab on the Portal.
Below are the recommended notifications to subscribe to, based on user roles. Please note the frequency of the notifications.
- Immediate – sends an email immediately after the action has occurred.
- Daily – batches notification events and sends an email every 24 hours.
- Weekly – batches notification events and sends an email every 7 days.
- Monthly – batches notification events and sends an email every 28 days.

Known Issues
System Requirements
The Portal is designed to work with Internet Explorer (IE) 8 or later. Earlier versions of IE may not display the user interface properly. Although IE8 is the only officially supported browser, other browsers such as Firefox and Chrome will also work. Firefox and Chrome have been used extensively during testing.
The DataMart Client application allows the DataMart Administrator to view queries distributed to the DataMart, execute queries locally, review the results, and upload the results to the Portal. The DataMart Client is a .NET/C# Windows desktop application developed by LPP that is installed locally on an Administrator’s desktop. Note the DataMart Client requires Microsoft .NET 4 to be installed on the user’s desktop – see the next section for install information. All communications between the DataMart Client application and the Portal use HTTP/SSL/TLS connections to securely transfer queries and results between the application and the Portal. The application uses ODBC connections to the local DataMart databases used to process queries and generate results.
Download Microsoft .NET 4
Microsoft .Net 4 is required to run the DataMart Client. The free download for Microsoft .NET4 is available at the following link: http://www.microsoft.com/en-us/download/details.aspx?id=17851
Not sure if you have Microsoft .NET 4? If you do not, you will receive an error message when you try to open the DataMart Client.
Register Your Account
Register for an account in order to receive login credentials to the query tool portal.
- Navigate to the login page
- Click on “Register for a New Account”
- Enter contact information
- Enter your name, title, email, phone number, and fax in the boxes provided.
- By clicking on the hyperlink in the “Organization” box, you will be able to select your organization from the list within a pop-up box. This box must be filled in.
- Create credentials
- Enter username with the format [first initial][last name] in the box provided
- Create and confirm desired password
- The password must be at least 9 characters and contain combination of characters, digits, and special characters.
- Click the “Sign Up” button to submit your registration
- After signing up, you will receive an email from “Mini-Sentinel Query Tool” confirming that your registration was submitted.
- This email is confirmation that your registration was submitted; it does not indicate that your request has been processed or that your account has been created.
- Once your request has been processed, you will receive another email from “Mini-Sentinel Query Tool” indicating that your registration has been approved.
- Once you receive this email, you will be able to use your credentials to access the portal from the login page.

- After signing up, you will receive an email from “Mini-Sentinel Query Tool” confirming that your registration was submitted.
Software Update
Download the DataMart Client from the Network Portal.
- Login to the web Portal using your DataMart Administrator login credentials that you created when registering.
- Navigate to the DataMart list page (Network>DataMarts).
- Click on your DataMart entry in the list to display the DataMart profile.
- At the bottom of the DataMart profile, click the link for “Download DataMart Client 32-bit” or “Download DataMart Client 64-bit version”.

- When prompted, click 'Run'
- Click 'Next' to begin the setup
- Select the instillation folder then click 'Next'
- Click 'Next' to confirm the instillation
Configuring Your DataMart Client

Run Metadata Queries
- Log into the Query Tool Portal
- Go to the Requests tab. Click “New” to create a new request.
- In the Choose Request Type window, select “Summary: Prevalence Queries”.
- Click “Prev Metadata: Refresh Dates” to open the request form.
- Check your datamart and click “Submit” to send the query to your Datamart Client.
- Open your desktop DataMart Client. Double-click the query when it appears in the query list to open the detailed view.
- Click “Run” to process the query. It may take several minutes to run. After the query has run, click “Upload Results” to send the results to the portal.
- Repeat steps 3-7 twice more, choosing “Summary: Incidence Queries” and “Summary: Most Frequently Used Queries” in step 3. These steps should be completed whenever your site refreshes its summary tables.
To see a summary of the data available about the network, go to the Resources tab and click on “Query Types by DataMart”.
Resources
Once logged in to your Network Portal, the Resource Tab offers helpful contact information, documentation, and related links, as shown below. If you have trouble accessing the Web Portal or your user account, click on the Contact Us link in the right-hand corner of the screen and describe your issue to request help from the PopMedNet support staff.
Download Microsoft Silverlight
Microsoft Silverlight is required to upload files for file transfers. If you do not have Silverlight installed, you will see a message to download and install it under “Upload Files” in the Request window.
- Click on “Click now to install”.
- Once the download and installation are complete, restart your browser and log back into the query tool. Your file transfer request will automatically be saved as a draft. On the Requests tab select your file transfer request draft. If Silverlight has installed correctly, you will see a button labeled “Select Files” in the “Upload Files” box.
Create Your Access Database
- Transfer Your Tab Delimited Files to Access
- All Tab Delimited files can be imported into one Access database per site. Each file must be imported one-by-one. This includes the new Age Groups Table. Open the ‘Age_Groups’ Access Database and save it in the proper folder.
- If you have a naming convention, please apply that to this database name. You will need your DataMart Client to point to the document later on.
- Going through the Importing Wizard: Go to the External Data tab and in the Import section, select ‘Text File.’ Select one of the Summary Table Tab Delimited files.
- Check ‘First row contains field names’.
- No primary key.
- All columns should be listed as ‘TEXT’ fields (except for data columns, such as Members/Events/Days Covered/DaysSupply/Dispensings/Age_Group_ID). Some versions of Office will try to force fields to be numeric because it looks like a number, but the query tool software is expecting a character.
- All Tab Delimited files can be imported into one Access database per site. Each file must be imported one-by-one. This includes the new Age Groups Table. Open the ‘Age_Groups’ Access Database and save it in the proper folder.
- Repeat the steps above (1a to 1e) until all tables are imported to your Access Database. The figure below displays the tables you will be importing into Access.
Update Your ODBC Connection
If your site created a new database, use these steps to update your ODBC connection. Note: if the new file has the same name and is in the same location, skip to step 8.
- Go to Settings > Control Panel > Administrative Tools > Data Sources (ODBC)
- Click on the System DSN tab and click the Add button.
- In the Create New Data Source window, choose Microsoft Access Driver (e.g., .mdb), or Microsoft Access Driver (*.mdb, *.accdb) if your tables have an .accdb extension, and click Finis
- Enter the Data Source Name and locate the database
- Under Data Source Name, type the name of your data source, for example: Mini_Sentinel_SummaryTables[date].
- On the Access Setup screen, click the “Select” button to locate your database. Make sure to select your database from the folder that you saved it to. Click OK and then click OK again to save.
Software Uninstall
